The UGM Library and Archives organized a technical training on archives management with the theme “Dynamic Archives Management” held from July 26 to 28, 2023, in Yogyakarta.
Head of the UGM Archives and the organizing chair, Dyana Rakhmasari K, stated that the training was conducted to raise awareness of the function and role of archives as evidence of performance accountability and to support decision-making processes in various organizations, including central and regional government, businesses, universities, and other institutions.
Additionally, the training aims to enhance managerial knowledge in archiving, improve knowledge and skills in archiving, and develop expertise in archiving.
Sixty-six participants from 18 institutions attended the event, including ten universities, one school, two ministries, four regencies/agencies/inspectorates, and one limited company.
These 66 participants represented their institutions from 8 provinces, including Riau Islands, Sumatra, Kalimantan, Bangka Belitung, Jakarta, East Java, Central Java, and Yogyakarta.
“During the training, participants received materials related to archiving and had the opportunity to visit several archival-related tourist sites in Yogyakarta,” Rakhmasari said in a release received on Tuesday (31/7).
The Head of the UGM Library and Archives, Nawang Purwanti, officially opened the archives management training. She emphasized the importance of continuous archival processing.
Furthermore, she explained that UGM had undergone organizational governance transformation as of July 1, 2023, including merging the UGM Library and Archives into one unit.
The three-day training included various topics. On the first day, participants were introduced to archival basics by Julianto Ibrahim, active archives management by Anna Riasmiati, and archives depreciation by Isti Maryatun.
On the second day, participants received explanations about archives assessment by Kurniatun, inactive archives management by Heri Santosa, and Records Center management by Musliichah. Participants also had the opportunity to practice in three sessions guided by facilitators.
On the third day, participants visited the Diorama Archives of Yogyakarta and the Regional Library and Archives Office of Yogyakarta. These visits aimed to revive the historical archives of Yogyakarta and introduce the historical events of Yogyakarta from the time of the Senapati of Mataram to the present Yogyakarta.
The activities continued with an archival tour at the UGM Library and Archives, allowing participants to learn more about the processing, media transfer, and preservation of UGM archives and to observe static archive depots, audiovisual archive depots, cartography, and more.
